Venue of the Forum

The forum will be held in Leipzig, Germany - a dynamic, forward-looking city with more than 800 years tradition of the international trade fairs.

The Venue of the Forum is Congress Center Leipzig (CCL). The Congress Center is an integral part of the new Leipzig Exhibition Centre. It combines the highest architectural aspirations with the very latest multimedia and telecommunications technology and provides excellent meeting facilities.

How to participate

Attendance at the Forum is "by invitation" only. Online registration requires an access code. This code will be provided to members of official delegations and those figuring on official invitation list provided by the Member countries, as well as invited speakers.

All others, wishing to attend the Forum are kindly requested to contact the International Transport Forum Secretariat with an expression of interest. They will receive within 7 working days an invitation, subject to prior approval by their Member country authorities.

How to register

Registration takes place on a dedicated portal. You will be directed to this portal at the same time you receive your access code (login and password).

After entering your login and password, you will notice that your personal data, as well as the CO2 offset charge and the participation fee have already been filled into the registration form. We kindly ask you to check the data carefully. Errors, if any, can be modified by using the button <Alternations> in the Registration Form of by sending an e-mail to:

Wsith this online registration form, you can select and book attendance at the Forum events and a Hotel room. You may also advise us of any special requirements you need, i.e. dietary, wheelchair access, smoker/non-smoker.

Even if your travel plans are not finalised when you register, we kindly ask you to fill in the Registration form on arrival and departure dates. You may modify your travel data at a later date using the button <Alternations> in the online Registration form, which you can enter with your personal code.

A confirmation letter of the booked services and your hotel reservation shall be sent to you by e-mail within one week.

For the participant there is a choice of four hotels:

  • Leipzig Marriott Hotel
  • Radisson SAS Hotel Leipzig
  • Westin Leipzig
  • Ibis Leipzig Centrum

The hotels are conventionally located within close vicinity from each other and in the city centre. All hotels provide excellent facilities; room prices vary according to its type and the class of the hotel. In order to benefit from discount rates, hotels must be booked through the registration process only.

Transport arrangements

Transfer of participants to/from Leipzig/Halle Airport and Leipzig Central Rail Station to/from the Hotels listed above, as well as between these Hotels and conference venue, and to/from ancillary events will be provided.

Registration fee

The registration fee covers access to the exhibition, the public sessions and ancillary social events (welcome reception, gala dinner, lunches, etc.). The fee may vary according to the category of delegates. Official delegations (Minister and four delegates), one representative of the accredited international organisation, two exhibitors per company, two JTRC Committee members and invited speakers, as well as their accompanying persons, are exempted from the fee.

Certain categories (i.e. additional members of official delegations, academics, representatives of governmental bodies and international organisations) will benefit of a discount rate. Accompanying persons, other than specified above, are requested to cover price of reception(s) only.

Please note as well that the registration fee varies according to the date of registration:

The registration fee is non-refundable.

CO2 offset charge

The Forum intends to be a carbon-neutral event. All participants, as well as accompanying persons are kindly asked to contribute a 30 Euro CO2 offset charge. The charge will be collected through the registration process. CO2 offset charge was determined on the basis of the estimated average carbon emissions generated by each delegate. The funds collected from this additional charge will be donated to an officially recognised renewable energy programme in a developing country.

Students interested in attending the research day of the Forum, 28 May 2008, can register on the spot upon presentation of their Student card. Participation fee is 25 Euros, lunch included.

Modes of payment

All payments are made through the registration process. The payment can be settled by credit card or bank transfer (for Official delegations only.

Cancellation policy

Registration and hotel reservation are bindings.

Any changes in the registration details or cancellation shall be submitted:

  • through the registration form - please use the button <Alternations> in the online Registration form, which you can enter with your personal code, or
  • by email: or fax: 0049 (0)341 678 8080.

Change of the participants name can be made free of charge at any time but has to be done in writing.

Important: Your hotel registration may be cancelled free of charge only until 12 May. Please note however that registration fees are not refundable.

Visa requirements

Delegates needing a visa for entering Germany are kindly advised to consult the website of the German Federal Foreign Office where they can verify their eligibility to visa requirements, find detailed information on visa application regulations and download an Application Form.

Delegates needing a visa shall indicate so during their registration process by ticking the corresponding box. Simultaneously they will be asked by email for detailed personal information for the purpose of the invitation letter. Please make sure to provide all required details and fill in all mandatory fields of the form provided.

Following this request you will receive within 2 days an invitation letter, an application form and the list of documents which shall be presented to the German Embassy/Consulate and are written in German. A copy of the invitation letter is sent by fax:

  • to the Visa Department of the responsible German Embassy/Consulate, and
  • to your Institution/Company office.

Should you require the original invitation letter, please inform us well in advance. The original will then be sent to you by regular mail.

To facilitate this visa application process, please submit the Embassy/Consulate also the International Transport Forum invitation letter, sent to your Minister (for the Members of official delegations and their accompanying persons), or to you in person (all other participants) earlier.

In order to ensure timely delivery of the visa, all delegates are strongly recommended to register before 20 April 2008.
